FAQ(A Guide to Avoiding 11 Common Violations at the CIIE)

1. Violations Regarding Fire Facilities and Safety Exits

Problem:
Some exhibitors did not leave a wide enough fire escape when designing their booths, or even directly blocked fire hydrants and fire extinguishers. This is extremely dangerous! Some also used flammable materials like ordinary fabric and foam boards for decoration. All of these are unacceptable!
Solution:
All exhibitors must strictly follow the requirements of the "Exhibitor Manual", leaving a safety passage with a width of no less than 1.8 meters. Fire-fighting facilities must not be obstructed as they need to be accessible at all times. Moreover, all decoration materials used in the China International Import Expo must have a fireproof inspection report to prove their compliance. Before setting up the exhibition, it is essential to confirm the fire safety inspection standards with the organizer in advance. Make sure you understand them clearly to avoid having to make a second round of adjustments after the setup is completed, which would be both costly and laborious.

2. Structural safety not meeting the standards

Problem:
Some exhibitors, when building high-level booths or double-layer structures, failed to submit professional structural drawings to the organizers. As a result, their booths were dismantled in the end, causing all the time, energy and costs invested in the early stage to be wasted, and even delaying their exhibition plans. What a pity!
Solution
When building ultra-high exhibition stands or those with a second floor structure, it is necessary to have a qualified third-party unit issue a technical assessment report. This third-party unit must have a first or second-level structural engineer qualification. The technical assessment report they issue must be approved by the organizer of the China International Import Expo before construction can proceed. This ensures the safety of the stand structure, allowing everyone to participate in the exhibition with peace of mind.

3. Construction period exceeded

Problem:
Some exhibitors were fined for being late in completing the construction of their booths at the China International Import Expo. This not only caused them financial losses but also might have affected the normal arrangement of the entire event. How uneconomical!
Solution:
Before the booth construction starts, everyone must make a detailed plan and arrange the tasks for each day. Also, don't forget to reserve at least one day as a buffer. Why? Because unexpected problems are inevitable during the construction process, such as delayed material supply or workers having sudden matters to attend to. However, if you have one day as a buffer, you can deal with these unexpected situations more calmly and avoid construction delays due to emergencies.

4. Exhibition booth area or height exceeds the limit

Problem:
Some exhibitors failed to pay attention to controlling the area and height of their booths. As a result, the booths exceeded the declared range or the top structure surpassed the stipulated height limit. For instance, the height limit was 6 meters, but it was exceeded, and in the end, they had to be forcibly dismantled. This not only wasted the previous construction efforts but also delayed participation in the exhibition, causing considerable losses.
Solution:
Before designing the booth for the China International Import Expo, it is essential to first confirm the red line diagram of the booth and clearly mark the boundary range of our booth on the diagram. After we receive the drawings, it is best to go to the site and recheck the dimensions with a laser distance meter to have a clear idea. At the same time, if the booth has complex structures such as cantilevers and suspended ceilings, it is necessary to communicate with the organizer in advance before construction to clarify the height limit. Do not wait until the construction is completed to find out that it exceeds the limit, as it will be too late then.

5. Electricity safety hazards

Problem:
Some exhibitors are careless when it comes to electricity usage! They privately extend wires, which is a very dangerous behavior and can easily cause electric shock accidents. What's more serious is that some of them don't use flame-retardant cables. Once a fire breaks out, ordinary cables will accelerate the spread of the fire. Besides, some high-power equipment is overloaded, which may cause a circuit breaker to trip. This not only affects the electricity usage of their own booths but also may impact the surrounding booths, disrupting everyone's normal display.
Solution:
Remember, all circuits must be operated by the electricians designated by the organizer. Do not connect wires by yourself. For instance, for power-consuming devices like LED screens, you need to apply for electricity separately. Also, when using the power box, note that it is not a separate circuit. For specific operation methods, you must follow the organizer's regulations to ensure electrical safety.

6. The reported materials do not match the actual situation

Problem:
Some exhibitors encountered a serious problem during the booth construction in Shanghai. The materials actually used on site were completely different from those specified in the drawings submitted to the organizers at the beginning. For instance, the drawings indicated the use of flame-retardant materials, but non-flame-retardant ones were used on site; the drawings stated the use of green and environmentally friendly materials, but non-environmentally friendly ones were actually used. As a result, the acceptance inspection could not pass and the booths had to be rebuilt, which wasted both time and money.
Solution:
Everyone must ensure that the materials list for the exhibition setup and the drawings are exactly the same. The qualification certificates of each material must be kept, as the organizers may check them later. Before the materials arrive at the site, we need to carefully check them with the construction team. Do not let them replace the materials at the last minute. Only in this way can we ensure a smooth acceptance and make the booth setup compliant and legal.

7. Improper disposal of waste

Problem:
During the setup and dismantling of booths at the Shanghai Import Expo, some exhibitors were not careful about garbage disposal. Construction waste was not sorted and was not cleared away on time. Eventually, the organizers had to arrange for people to clean up, which resulted in high cleaning fees that we had to bear ourselves. It was really not cost-effective.
Solution:
When signing a contract with the garbage removal company designated by the organizer, make sure to clarify the standards for garbage classification and the specific time for removal. At the time of dismantling the exhibition, it is necessary to assign a dedicated person to supervise the garbage clearance work, conduct a thorough inspection to prevent any omissions. Only by handling waste in accordance with the requirements can you save money and avoid trouble, and also comply with the regulations of the exhibition.

8. The advertisement does not meet the standards of the CIIE

Problem:
Some exhibitors used some maps when preparing for the exhibition advertisements, but there were problems with these maps. They did not follow the official standards of China and used unreasonable map styles. This is absolutely not allowed at the China International Import Expo. Once such a situation occurs, it will have a very bad influence.
Solution:
To avoid this issue, there are two good solutions. One is to use maps with blurred boundary lines, which will not involve any standardization problems; the other is simpler and more straightforward, which is to use the maps designated by the Chinese government. 9. Lack of protection for high-altitude work

Problem:
Some exhibitors were working at heights without any safety measures. They neither wore safety ropes nor were there protective fences set up on site. This situation is extremely dangerous. Once an accident occurs, the consequences would be unimaginable. Therefore, as soon as it was discovered, they would be immediately stopped and the progress of the project would also be affected.
Solution:
For any work at heights, where the height reaches 2 meters or more, it is essential to be equipped with proper safety gear, such as safety ropes and helmets. At the same time, clear warning signs should be set up on site to remind people around that there is work at heights and to pay attention to safety. Additionally, before construction, workers must be trained in advance to make them aware of the key points of safety in work at heights. Problem:
Some exhibitors have run into trouble due to intellectual property issues. For instance, they used fonts or pictures without authorization in their exhibits or promotional materials, or imitated the designs of other brands, and as a result, they were complained about. Once infringement is confirmed, not only may their participation in the exhibition be affected, but they may also face legal liability and economic compensation, which could lead to significant losses.
Solution:
To avoid such situations, everyone must use genuine materials. Whether it's fonts or images, you should check the copyright issues in advance to ensure you have the right to use them. If you create original designs yourself, be sure to keep relevant evidence well, such as design ideas and records of the creative process. During the design process, also pay more attention to avoid similarities with the designs of other exhibitors.
